What we do with your data, what we do with your guests’ photographs, and the terms that apply when you book a booth.

Privacy

What we collect

When you contact us through this website we collect the details you type into the form: your name, email address, telephone number, event date, venue and anything you write in the message box. If you go on to book, we also hold the invoice and payment records that we are required by law to keep.

We do not use advertising trackers, and this site sets no analytics cookies.

Why we hold it

Solely to answer your enquiry, prepare a quote, run your booking and keep the accounting records the law requires. We do not sell or share your details with third parties for marketing.

How long we keep it

Enquiries that do not turn into bookings are deleted after twelve months. Booking and financial records are kept for six years, which is the period required for tax purposes.

Your rights

You can ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted where we are not legally required to keep it. Email [email protected] and we will respond within one month.

Photographs taken at your event

Who owns them

The photographs taken in the booth are yours and your guests’. We supply every image on a USB stick after the event.

Publishing

We do not publish photographs of guests on this website or on social media unless the client has asked us to and the people shown have agreed. If an image of your event has been published and you would like it removed, email us and it will come down.

Storage

We hold a copy of your event’s images for 30 days after the event as a safeguard against a lost USB, then delete them.

Terms of hire

Booking and deposit

A booking is confirmed when a deposit is received and we have sent written confirmation. Until then, a date may be held provisionally but is not secured.

Balance

The balance is due before the event date, as stated on your confirmation.

Cancellation

Deposits are non-refundable, as the date is held exclusively for you and turned away from others. If you cancel more than eight weeks before the event, no further sum is due. Inside eight weeks the balance may become payable in full. If a booking has to move because of circumstances beyond either party’s control, we will always try to transfer the deposit to a new date rather than keep it.

Access, power and space

The client is responsible for making sure the venue provides: safe vehicle access for unloading, a level area of the size stated for your chosen booth, and a standard 13A socket within a few metres. Setup takes approximately one hour and must be possible before the agreed start time.

Behaviour and damage

Our attendants remain with the booth at all times. We reserve the right to suspend operation if guests behave in a way that risks injury or damage to the equipment, and to charge for deliberate damage.

Insurance

We hold public liability and employer’s liability insurance and our equipment is PAT tested. Certificates are available on request and can be sent directly to your venue.

Things outside our control

In the unlikely event of equipment failure that cannot be resolved on site, our liability is limited to a refund proportional to the booth time lost. We carry spare equipment for the parts most likely to fail.

Governing law

These terms are governed by the law of England and Wales.
